This Privacy Policy (“Policy”) applies to your use of the Sant Niwas Hospitality Pvt Ltd website [santniwas.com], our services, and Razorpay payment integrations. It does not apply to third‑party websites linked from Sant Niwas or Razorpay, or to relationships you may have with businesses listed externally.

The terms “we”, “our” and “us” refer to Sant Niwas Hospitality Pvt Ltd, and the terms “you”, “your” and “User” refer to you, as a guest or visitor. “Personal Information” means information that personally identifies you, such as your name, phone number, email address, payment details, or any other data tied to such information.

We have implemented reasonable security practices and procedures commensurate with the information assets being protected. While we strive to provide security better than industry standards, we cannot ensure or warrant complete security of information transmitted over the internet. By visiting our website or using our services, you agree to be bound by this Policy and consent to our collection, use, processing, and sharing of Personal Information as set out below. If you do not agree, please do not use our services.

  • Information We Collect and How We Use It
    • Website Interactions: Comments, IP address, browser type, cookies, uploaded media (including EXIF GPS data), and embedded content behavior.
    • Payment Transactions (via Razorpay): Name, email, phone number, card/bank details, wallet information, KYC documents, and transaction history.
    • Activity Data: Pages viewed, searches undertaken, timestamps, referring URLs.

 

We use this information to enable services, process bookings, detect fraud, troubleshoot problems, customize user experience, enforce terms, and comply with legal obligations.

  • Account Information of Guests and Merchants
    • If you create an account, we may record Personal Information such as your name, email, and mobile number. Sensitive data (financial information, KYC documents) may be stored securely in compliance with RBI regulations. You may unsubscribe from newsletters or SMS alerts at any time. You may also request erasure of your information, in which case Sant Niwas and Razorpay will delete stored data from their servers.
  • Customer Information
    • We store customer details (address, mobile number, card/wallet details, email) when payments are made through Razorpay checkouts. This information is shared only with businesses powered by Razorpay when customers choose to do so. Sant Niwas is not liable for misuse of such information by third parties.
  • Cookies
    • Cookies are used to uniquely identify your browser, improve service quality, and remember preferences. Session cookies expire when you close your browser; persistent cookies remain until deleted. Disabling cookies may affect functionality. Third‑party tools may use cookies for anonymous analytics and targeted advertisements. No Personal Information is collected in this process.
  • Enforcement
    • We may use collected information to investigate, enforce, and apply our terms and this Policy.
  • Transfer of Information
    • We do not share Personal Information except with:
      • Banks, RBI, regulators, or affiliates as required.
      • Razorpay and its subsidiaries for technical support and account services.
      • Legal authorities when disclosure is necessary to comply with law, enforce terms, or protect rights.
    • Aggregate, non‑identifiable data may be shared with advertisers or partners.
  • User Access of Personal Information
    • Registered users may modify their Personal Information and privacy preferences via email or contact us section our our website.
  • Security
    • Accounts are password‑protected while transacting with payment gateway. We follow industry best practices on information security and limit access to authorized personnel only. Sant Niwas do have your user account or password information and Razorpay disclaim liability for intercepted information transmitted via the internet.
  • Terms and Modifications
    • This Policy may change at any time without notice. Continued use of Sant Niwas services after changes indicates acceptance. Users are responsible for keeping their information current.
  • Applicable Law
    • Your use of Sant Niwas services will be governed by and construed in accordance with the laws of India. Any legal action or proceedings may be brought exclusively in the competent courts/tribunals in Bengaluru, India.

    • If you have feedback, complaints, or questions, we will record your communication to respond effectively. Concerns regarding Personal Information or breaches of confidentiality should be reported to the Grievance Officer below:

Booking Policy

  • Booking Confirmation & Payment
    • A booking is confirmed only upon receipt of full payment or an approved partial payment through authorized channels (Sant Niwas website or payment gateway, partner platforms like booking.com, makemytrip.com, oye.com etc).
    • Sant Niwas reserves the right to cancel unpaid or partially paid bookings if payment is not completed within the specified timeframe.
    • Guests must provide valid mobile number and email address at the time of booking. These details are required for booking confirmation, regulatory compliance under Indian hospitality standards, and communication regarding your stay. Sant Niwas reserves the right to cancel bookings where valid contact details are not provided or cannot be verified.
    • A mandatory room services fee applies to all reservations:
      • Villa Reservations:₹1,500 per stay
      • Room Reservations: ₹750 per room
  • Check-in & Check-out
    • Guests must adhere to the designated check-in and check-out times mentioned in their booking confirmation.
    • Early check-in or late check-out requests are subject to availability and may incur additional charges or prior approval.
    • Valid government-issued photo ID is mandatory at check-in, in line with regulatory compliance under Indian hospitality standards and regulations. Acceptable ID proof includes
      • Domestic Clients : Aadhar Card, Voter ID card, Passport, Driver License
      • International Clients: Passport, Visa, Driver License, or Govt ID card
  • Guest Responsibilities
    • The guest count must not exceed the occupancy limit set at the time of booking. Extra guests will be charged separately.
    • Guests are responsible for maintaining proper conduct during their stay.
    • Any outside guests of occupants cannot go to rooms of the staying guests without prior approval.
    • Unmarried couples and individuals below 18 years cannot be booked to stay at Sant Niwas. They must be accompanied with families or guardians.
    • Property is strictly non-smoking anywhere on the premises.
    • Quite period is strictly administered between 10:30 pm to 5:00 am everyday. Loud music, parties, or disturbances affecting neighbors are strictly prohibited unless explicitly permitted under house rules.
  • Property Damages
    • Any damage to property, furniture, or amenities (except normal wear and tear) will be charged to the guest.
    • Sant Niwas reserves the right to recover costs and refuse future bookings in case of serious violations.
    • Property damages incurred by staying guests must be disbursed to the property before check-out. Property manager will make arbitrage the situation and settlement if any.
  • Security Deposit & Refunds
    • A security deposit may be collected at check-in.
    • Refunds are processed within 7 working days, provided:
      • The guest count does not exceed the confirmed occupancy.
      • No damages or violations of house rules are reported.
    • Refunds will be made to the original payment method used, in line with MakeMyTrip refund standards.
  • Cancellation & Future Stay Booking (FSB)
    • Cancellation policies follow Sant Niwas guidelines:
      • Flexible bookings may allow free cancellation within a specified period.
      • Non-refundable bookings will not be eligible for cash refunds.
      • Property will make the decision on a case-to-case basis in extreme situations leading to cancellation. Property manager can be reached at manager@santniwas.com
    • Sant Niwas offers Future Stay Booking (FSB) as an alternative to refunds:
      • Redeemable at Sant Niwas property or services.
      • Can be used multiple times until the full amount is exhausted.
      • Valid for 1 year from the date of issuance.
      • Can be applied directly during payment when making a new booking.
  • Enforcement
    • Sant Niwas reserves the right to:
      • Cancel bookings for non-compliance with payment or guest policies.
      • Recover costs for damages or violations.
      • Refuse future bookings in case of misconduct.
  • Applicable Law
    • This Booking Policy is governed by the laws of India. Any disputes shall be subject to the jurisdiction of competent courts/tribunals in local court, Punjab India, consistent with legal framework.
  • Travel Booking and offers
    • Sant Niwas Hospitality Pvt. Ltd. does not function as a licensed travel agency or tour operator. All travel packages, sightseeing tours, transportation arrangements, and related services are organized exclusively through independent, registered local travel agents. Sant Niwas serves only as a facilitator to connect guests with these service providers and is not responsible for operational control, pricing, execution, delays, cancellations, or liabilities arising from third‑party services. Guests are advised to review all terms and conditions of the respective travel agent before confirming any package.

Rules for Sant Niwas Guests

1. Registration & Identification

  • Mandatory Registration: All visitors must register upon arrival.
  • Identification: A valid form of government issued identification ID is required to complete check-in. Soft copy of the ID will not be acceptable.

2. Restricted Areas

  • Designated Spaces: Visitors are welcome in the designated common areas, including the lobby, dining areas, lounges, balcony, terrace and outdoor spaces.
  • Private Areas: Access to private guest rooms is strictly restricted unless explicit permission has been granted by property management.

3. Visiting Hours

  • Allowed Hours: Visitors are permitted during the designated hours specified by the property.
  • Overnight Stays: Unauthorized overnight stays by visitors are not allowed unless prior approval has been obtained from property management.

4. Conduct & Behavior

  • Expected Conduct: Visitors are expected to maintain a courteous and respectful demeanor at all times.
  • Disruptive Behavior: Disruptive behavior, excessive noise, or any actions that disturb the peace of other guests will prompt immediate intervention by property management.

5. Compliance with Property Policies

  • Policy Adherence: Visitors must comply with all the property rules established by Sant Niwas, including but not limited to no-smoking policies, hygiene guidelines, and safety procedures.
  • Non-Compliance: Failure to adhere to these regulations may result in the visitor being asked to leave the premises.

6. Additional Charges & Liabilities

  • Violations: Should any visitor be responsible for any property violation (such as property damage or misuse of amenities), the primary guest may be held financially liable for the incurred costs.

7. Management Discretion

  • Policy Adjustments: Sant Niwas management reserves the right to impose additional visitor guidelines as necessary to ensure the safety and comfort of all occupants.
  • Enforcement: In cases of non-compliance, management may restrict or revoke visitor access without prior notice.

Cancellation Policy

At Sant Niwas, we understand that travel plans can change. Our cancellation policy has been designed to offer flexibility while balancing operational requirements.

Refund and Cancellation Guidelines
  • Cancellations made 15 days or more prior to check-in:
    • Refund: 100% of the total booking value will be refunded using the original payment method after deducting cancellation fee or opt for a full future credit note 
  • Cancellations made 3rd-14th days prior to check-in:
    • Refund: 50% of the booking value will be refunded. Alternatively, you may receive a future credit note worth 100% of the booking value.
  • Cancellations made less than 3 days prior to check-in:
    • Non-Refundable: No refunds or credit notes will be provided.
  • Additional Terms:
    • If reservation costs have already been processed, cancellations will be regarded as non-refundable.
    • Standard cancellation policies do not apply during peak booking dates.

Note: A cancellation fee of 8% is deducted for platform charges and processing costs.

 

Refund Policy

In case of early cancellations of the rental stay as outlined in cancellation policies, refund will be issued to the customers based on the following guidelines

Refund Guidelines
  • Refunds will be issued to the same account from where the booking was made:
    • The refund will go back to the same banking account from where the payments was received. In casse of cash, a refund will be issued via check from Sant Niwas Shahpur and sent to the address of the client as provided in the booking request.
  • In case of terminations of the rental agreement by the host, no refunds will be issued. 
    • It is at the discretion of the of the host (Sant Niwas Shahpur) to make the terminations call if situation arise and the host’s decision will be the final decision. A credit note for the similar amount may be provided for future booking.
  • If Cancellations made less than 3 days prior to check-in:
    • No refunds or credit notes will be provided.
  • No Refund Terms:
    • If reservation costs have already been processed, cancellations will be regarded as non-refundable.

Note: Refunds will deduct a cancellation fee of 8% for platform charges and processing costs.

FAQ's

What are the "Change Booking" policy at Sant Niwas
  • Sant Niwas allows rescheduling of bookings only if the request is made between 4th and 14 days before check-in, subject to a 30% rescheduling fee.
  • Rescheduling is subject to availability of the same property and allotted once per booking.
  • The new booking must be within 3 months of the original booking date.
  • Remaining bookings balance must be paid at the time of rescheduling which include rescheduling charges and new booking amount adjustment and any remaining balance.

No Refunds Will Be Issued For:

  • Bookings made for peak date.
  • Rescheduled bookings (Once a booking is rescheduled, it is no longer eligible for a refund).
  • Partial payment bookings are non-refundable. Only complete booking amount is refundable eligible for refund.  
  • If a cancellation occurs due to extenuating circumstances, Sant Niwas will attempt to secure another booking for the same duration in future.
  • If a replacement booking is confirmed, the new booking amount (after a 5% deduction) will be refunded.
  • If no replacement booking is secured, the cancellation will be treated as a no-show, with no refund applicable.

You need to connect with property manager and request booking cancellation or rescheduling via email or whatsapp message. The property management personel will provide you further instruction to cancel your booking. 

Our standard cancellation policy does not apply to reservations during peak dates. The following event periods are non-refundable:

  • Good Friday and Easter Day
  • Ramzan Eid

  • Independence Day & Raksha Bandhan
  • Ganesh Chaturthi
  • Onam
  • Gandhi Jayanti
